1. DEFINITIONS
In these Conditions:
“Booking” ‒ Your booking with Us to attend the Event.
“Booking Form” ‒ The online booking form completed by You to confirm Your place at the Event.
“Conditions” ‒ The terms and conditions upon which We will organise and hold the Event.
“Contract” ‒ The contract between Us and You for Your attendance at the Event.
“Delegates” ‒ The persons You register to attend the Event on Your behalf.
“Event” ‒ The Airport AI Exchange in Dubai, UAE, 27‒29 January 2026.
“Fees” ‒ The total amount payable to Us for Your attendance.
“Early Bird Rate” ‒ A discounted registration fee available before the standard rate.
“Force Majeure Event” ‒ As defined in Condition 7.2.
“Non-Paying Delegates” ‒ Airlines, airports, aviation authorities, and government representatives invited
to attend free of charge.
“Paying Delegates” ‒ All other Delegates required to pay registration Fees.
“Us”, “We”, “Our” ‒ Language Decode Ltd, organisers of Airport AI Exchange.
“You”, “Your” ‒ The Person entering into the Contract with Us.

2. BOOKINGS
All Bookings are subject to these Conditions. Completion of the Booking Form constitutes an offer to attend
the Event. The Contract is formed once We confirm acceptance by email. Fees must be paid in full prior to
attending the Event.

3. THE EVENT
We organise the Event in good faith and accept no liability for no-shows, cancelled meetings, or errors in
listings. All details are correct at the time of publication. Priority scheduling applies to registrations before 1
January 2026. Attendance numbers are not guaranteed. By registering, You consent to photography and
filming for promotional purposes.

4. DELEGATES
Delegate substitutions are permitted up to the start of the Event by emailing info@airportai.exchange.
Replacement names may not appear in printed directories if changed after publication.

5. CANCELLATION AND REFUNDS
You may cancel and request a full refund within five (5) calendar days of booking by emailing
info@airportai.exchange. After this period, no refunds will be issued. Delegate name changes are allowed
free of charge up to the start of the Event.
6. NON-PAYING DELEGATES
Non-Paying Delegates must attend a minimum of 10 pre-arranged meetings as part of their complimentary
participation.

7. CANCELLATION OR POSTPONEMENT
We may cancel or postpone the Event due to unforeseen circumstances or Force Majeure Events. If
postponed, all Bookings transfer automatically to new dates. If cancelled, Paying Delegates may claim a
refund. We are not responsible for travel, visa, or accommodation costs.

8. GENERAL
You may not transfer rights under this Contract without written consent. This Contract is governed by English
law, with exclusive jurisdiction of the courts of England and Wales.
